The Document Controller executes document control activities and deliverables complying with Nexus Procedures, project-specific execution strategies, and needs from both internal and external customers. It is expected that the Document Controller provide accurate and timely document processing of all project documents. This may include applying attributes, filing in organized manner within the electronic document management system, distributing to reviewers/approvers, printing hard copies as requested, tracking responses, reporting progress, and communicating with internal project team members and external clients, vendors, and contractors.

Responsibilities:

  • Provide document control interface between Nexus Engineering and Client document management system.
  • Set-Up Projects in the Nexus’ Electronic Document Management System (EDMS)
  • Define Users & Groups and Assign Permissions
  • Act as a super user for EDMS, support/train users as needed
  • Develop and maintain Master Document Register (MDR) through the life of the project for each project within the Nexus portfolio
  • Process vendor documents for record or approval
  • Organize Engineering and Construction Work Packages
  • Communicate with Engineering, Procurement, Project Management, and Project Functional Leads to ensure all document control needs are being met
  • Issue all applicable reports to the Project Manager and Project Controls Manager (i.e. status of reviews/approvals, overdue documentation)
  • Liaise with external client or EP/CM Document Control teams regarding document transmittals, sharing, indexing, management and distribution
  • Archive and handover project documents to internal/external customers

Qualifications:

  • Strong knowledge of Microsoft suite
  • Demonstrated ability to upload and download files from One Drive and SharePoint
  • Experience with engineering, architectural, and construction documents (i.e., maps, drawings, technical specifications, etc.)
  • Ensure customer service for each worksite is treated as a top priority
  • Well organized and ability to work on your own a plus
  • Strong written and verbal communication skills required
  • 1-2 years’ experience working with document control and auditing preferred.

Education Requirements:

  • High School Diploma or equivalent required.
  • Bachelor’s Degree (BA or BS) in related area preferred
